7 signs your business has outgrown Excel

Excel and Google Sheets have built a lot of successful businesses. They are flexible, cheap and familiar. But there is a point where the spreadsheet that helped you grow starts holding you back. Here are seven signs you have reached it.

1. Nobody trusts the numbers

Sales says one figure, accounts says another, and the stock count says a third. When numbers live in separate files, they drift apart, and every month-end turns into a reconciliation exercise.

2. One person holds everything together

There is one file only one person truly understands. When they are sick or on leave, work stops. That is a risk, not a system.

3. You are copying the same data between files

An order is typed into a sales sheet, then again into an invoice, then again into a stock sheet. Every copy is time wasted and a chance for a typing error.

“What did branch two sell last week?” or “Which customers owe us money?” should take seconds. If they take an afternoon of filtering and adding up, the tool is the bottleneck.

A spreadsheet shared with the whole team shows everyone everything, including costs, margins and salaries. Proper systems give each person access to what their job needs.

7. Mistakes are costing real money

A wrong formula, a deleted row, a price typed incorrectly. Small errors in a spreadsheet can quietly cost far more than a proper system would.
